Strand Reception Upgrade

A Strand front office needed better call handling for visitors, suppliers and internal follow ups. NewTel reworked the reception setup so calls route more clearly and the team can answer, transfer and take messages without fuss.

A reception that had outgrown its old call flow

The client was a small professional office in Strand, serving walk-in visitors and regular callers from across the Helderberg. Reception was carrying too much of the load. Calls were landing on the wrong extension, voicemail messages were getting missed, and there was no proper operator console for the person at the front to manage busy periods. The brief was simple enough to say but quite specific in practice: make the front office easier to run, improve message handling, and keep the whole setup dependable during load shedding and internet dips.

The site had a compact reception area, a modest back office and shared meeting space, so we had to keep the footprint tight. There was also coastal humidity to think about, especially for cabling terminations and equipment placement near the entrance. The client wanted minimal disruption, clear numbering and a solution the staff could pick up quickly. No one had time for a long learning curve.

What we checked before touching the lines

We started with a site survey and call path review. That meant checking the existing fibre handoff, testing voice quality, mapping each extension, and confirming how incoming calls should move between reception, voicemail and the office team. We also checked the cupboard and cable routes for any sign of moisture, loose terminations or old patching that could cause trouble later.

  • Existing fibre circuit and router health
  • Reception handset position and cable length
  • Call routing rules for business hours and after-hours
  • Voicemail box setup for missed calls
  • Power backup requirements for short outages
  • Caller ID presentation and number porting needs

The main constraint was keeping the office live while we worked. Staff still had to answer incoming calls, and the client did not want a long outage. We therefore scheduled the cutover in stages and kept the old routing available until the new setup was fully tested. That approach saved time and kept the reception line open for normal business.

New operator console, clearer voicemail, better routing

We supplied and configured a new operator console for reception, together with a cleaner call plan that sends callers to the right place first time. The voicemail system was set up with separate message handling for reception and overflow periods, so messages no longer disappear into one generic inbox. We also adjusted ring groups and transfer rules to make sure callers could move from reception to the right person without repeated handovers.

On the network side, we checked the fibre termination, tidied the internal cabling, and confirmed the office network could carry voice traffic cleanly alongside normal internet use. The installation included cable management, extension labelling and user familiarisation. In plain terms, the staff can now see what each line does, answer faster and move calls without second guessing.

  • Operator console for front office use
  • Voicemail with separate handling rules
  • Incoming call routing by time of day
  • Internal extension labelling
  • Voice-over-fibre configuration
  • Reception transfer and hold testing

A three-week rollout with a staged cutover

At this Strand reception upgrade, the work moved from survey to handover over three weeks. Week one covered the site check, line testing and final call flow planning. Week two focused on installation, cabling adjustments and system configuration. Week three was used for live testing, staff training and final tweaks once the team had worked with the new setup in real time.

We also added after-hours support during the changeover window, because the office needed confidence that someone could respond if a voicemail route or extension needed an adjustment after closing time. That support period helped the team settle in without stress, and it gave us useful feedback on how the reception counter works during busy mornings.

What changed for the Strand team

After go-live, the front office had less call confusion and far fewer repeat transfers. Reception could answer, place callers on hold, send a message and route a call on the first attempt. Staff said the voicemail system was easier to use, and managers had a cleaner way to check missed calls at the end of the day. The office also noticed that voice quality held up well even when the data load increased during normal business hours.

Because the call flow was designed around the actual office routine, not just the number of handsets on site, the team could keep up with visitors and phone traffic at the same time. That matters in Strand where a front office often deals with suppliers, clients and contractors all in one morning. The result was less friction, less waiting and a more professional first point of contact.

What we would repeat on the next front office job

If we were doing the same type of project again, we would keep the same order: survey first, call flow mapped on paper, then staged cutover with live testing. That sequence reduces surprises and gives reception staff a chance to understand the new process before the final handover. We would also keep the same approach to cabling tidy-up and labelling, because that saves time later when someone new joins the team.

For small offices in Strand, Somerset West, Bellville or Paarl, the key is to match the phone setup to the actual pace of the office. A good VoIP system is not just about making calls, it is about making sure the right person picks up the right call at the right time. That is what this project achieved.

Questions we get asked

Can a reception upgrade be done without closing the office?

Yes. We normally stage the work so reception stays live, then switch over once testing is complete.

Will voicemail still work during short power cuts?

If the router and voice equipment are on backup power, the system can keep running through short outages. We assess this during the site survey.

Do you only do this in Strand?

No. We handle fibre and VoIP projects across Cape Town and offices nationwide, with local support from our Century City base.
